Finance Assistant Job Vacancy: World Agroforestry Centre (ICRAF)

The World Agroforestry Centre (ICRAF) is supported by the Consultative Group on International Agricultural Research (CGIAR), generates science-based knowledge about the complex role that trees play in agricultural landscapes and uses its research to ensure that policies and practices benefit the poor and the environment.

Our vision is an Agroforestry transformation' in the developing world—a massive increase in the use of trees on landscapes by smallholder rural households to ensure security in food, nutrition, income, health, shelter and energy, and a regenerated environment.

Headquartered in Nairobi, Kenya, the World Agroforestry Centre (ICRAF) conducts research in 23 countries in Africa, Asia and Latin America.

The position: Finance Assistant

The World Agroforestry Centre (ICRAF) is recruiting for the position of Finance Assistant in Nairobi, Kenya reporting to the Finance Manager – Operations

Duties and responsibilities:

1. VAT application
  • Ensure that VAT related invoices are photocopied immediately upon receipt.
  • Prepare VAT exemption certificates and updating VAT register and forward for signature on a weekly basis.
  • Ensure the forms are forwarded to Foreign Affairs and KRA for approval.
  • Forward the approved forms to suppliers.
2. Processing of Telegraphic Transfers
  • Review documents for accuracy and completeness immediately upon receipt
  • Transmission of telegraphic transfers immediately after the review.
  • Ensure payments are verified and signed by authorizers as per the mandates.
  • Upon signing, advise recipients of their transfer by email or by copy of the transfer and asking them to acknowledge receipt.
  • Printing and filing hard copies of emails sent to recipients alphabetically in files.
  • Update telegraphic transfer register immediately for ease of reference
3. Acknowledgment of funds received from donors, staff, hosted partner institutions and filing of donor agreements and other related documents.

4. Maintain the archive of the Finance Service Unit files.

5. Keep track of all incoming and outgoing finance documents. Distribution of all incoming mails.

6. Work as a back-up for the assistant to the Director of Finance and Operations

The successful applicant will have:
  • Diploma in Business Administration
  • Five years experience on the job or in a similar organization and working within a multi cultural and disciplinary environment.

The position is for an initial period of two (2) years, subject to a six (6) months probation period, assessment of performance and availability of resources.
