Programme Secretary Job Advertisement : Kenya Arid and Semiarid Lands Research Programme (KASAL)

Background

Funded by the European Union (EDF) the Kenya Agricultural Research Institute (KARI) is implementing KASAL, a 5-year research programme for the arid and semiarid districts of Kenya.

The programme involves three KARI centres and is managed by the KASAL Programme Coordination Unit (PCU) based at KARI HQ in Nairobi.

The KASAL Programme Coordination Unit is headed by the National Programme Coordinator KARI.

KASAL Programme Coordination Unit support staff and management inputs are provided by KARI’s KASAL partner consortium (NR-International and Intermedia-NCG).

The Programme Secretary will be part of the support staff under the KASAL partner consortium

Position: Programme Secretary

Reporting to: National Coordinator

Duration: 1 year (with possible extension up to 31st May 2011)

Location: Nairobi

Scope of work
  • Prepare and manage correspondence, reports and documents
  • Organize and coordinate meetings, conferences, travel arrangements
  • Take, type and distribute minutes of meetings
  • Implement and maintain office systems
  • Maintain schedules and calendars
  • Arrange and confirm appointments
  • Organize internal and external events
  • Handle incoming mail and other material
  • Set up and maintain filing systems
  • Set up work procedures
  • Collate information
  • Maintain databases necessary for smooth operation of the KASAL PCU, for example, leave schedules, office requisition of materials and so on.
  • Communicate verbally and in writing to answer inquiries and provide information
  • Liaison with internal and external contacts
  • Coordinate the flow of information both internally and externally
  • Operate office equipment
  • Manage the PCU office space
  • Maintain and update an asset register for the programme
Essential requirements (Qualifications)
  • Certificate in Full secretarial course or higher or
  • Certificate in Business Management
Key competencies
  • Knowledge and experience of relevant software applications - spreadsheets, word processing
  • Knowledge of administrative and clerical procedures
  • Proficient in spelling, punctuation, grammar and other English language skills
  • Proven experience of producing correspondence and documents
  • Proven experience in information and communication management
  • Typing speed of 60 wpm minimum
  • Good verbal and written communication skills
  • Planning and organizing
  • Good interpersonal skills
