The position: Programme Administrator
The World Agroforestry Centre (ICRAF) is recruiting for the position of Programme Administrator - East Africa to be based in Nairobi, Kenya.
In liaison with the Regional Coordinator, the role will be to manage the East Africa operations and supervise the Administrative Assistant plus the Accounts Assistant to ensure that East Africa goals are achieved; proper monitoring of programme & on time reporting is done as per East Africa Regional annual workplan

Duties and responsibilities:
The Programme Administrator will have the following principal responsibilities:
1. Office Administration
- Arrange all travel requirements for the staff in the region and other visitors to the programme.
- Provide logistical support for all meetings, seminars, and organisation of payments
- General office allocations, assignation and Network & Communication connectivity for all staff
- Monitor project vehicle use, allocation, and charge-backs, furniture and office equipment allocations/movements, and disposal
- Liaise with Training Officer to identify suitable interns to the Project
- Contribute to the communication strategy for the region
- Carry out general administrative activities in liaison with all other units (IT, Finance Service Unit, Operations, etc)
2. Support the research team
- Internet searches in support of the regional research agenda.
- Support the science on ad-hoc basis - support desk study for scientists
- Download literature and other material for the research team
3. Website: Assemble relevant information including but not limited to staff profiles for uploading to the website.
4. Updating & maintenance of regional database
- Maintain a database of staff, consultants, students, interns, partners, projects, Memorandum of Understanding, Agreements and other temporary collaborators, including leave, CVs, contracts, and Terms of Reference.
- Develop list of key donors to the region, keep record of contacts.
5. Monitor regional budget
- Monitor budgets allocation and expenditures
- Monitor in collaboration with Finance Officer spending and reporting to donors of different grants
- Participate in the auditing exercise of the regional accounts
6. Support to the Supervisor
- Oversee staff time use and staff time coverage
- Support supervisor in preparing and monitoring of POWB
- Manage supervisor's visitors and time
The successful applicant will have:
- Bachelors degree in Business Management or related field
- Relevant Postgraduate qualifications and Secretarial studies will be an added advantage
- Minimum of (10) years of experience in a similar position, preferably in an international organization, NGO.
- Excellent numerical and writing skills,
- Excellent interpersonal skills
- Strong analytical and problem-solving skills
- Ability to conduct research and surveys
- Ability to collate, analyze, evaluate and interpret different types of data and information
- Capacity building skills.
- Proficiency in ICT
- Ability to maintain confidentiality
- Demonstrable oral and written communication skills,
- Ability to plan, organize and prioritize

The position is for an initial period of two (2) years, subject to a six (6) months probation period, assessment of performance and availability of resources.
