Position: Transport Coordinator
Reporting to: Operations Director
Supervises: N/A
Position Summary:
The Transport Coordinator reports to the Operations Director and his/her primary role is to ensure that the transport fleet is managed in a cost effective and safe manner. The incumbent is expected to deliver a high level of customer service and support to internal and external customers.

The Transport Coordinator reports to the Operations Director and his/her primary role is to ensure that the transport fleet is managed in a cost effective and safe manner. The incumbent is expected to deliver a high level of customer service and support to internal and external customers.
Duties and Responsibilities:
The incumbent will be responsible for the following areas:
- Ensure that the SLA with the Transport vendor is monitored and complied with.
- Manage the daily transport planning system taking into account HCC staff shift schedules.
- Make sure that all daily and ongoing information is put into the log books by passengers and drivers.
- Collect individual vehicle log books on weekly basis in order to carry out a daily, weekly and monthly transport analysis
- Ensure that the regulations in the Vehicle Log Books and Transport Policy are adhered to by all the drivers through continuous observations of drivers’ performance and vehicles’ technical conditions.
- Ensure that staff comply with provisions in the Transport Policy
- Introduce, maintain and manage the system of “Transport Key Performance Indicators”, consisting of punctuality, safety records, vehicle availability and vehicle utilization,
- Manage a system of security and routine check-in calls by teams travelling to and from the HCC offices
- Ensure that requests, comments or complaints on drivers performance, vehicles condition, are considered and dealt with through laid down procedures
Job Requirements:
- Minimum 3 years relevant experience in transport /fleet management;
- Attention to detail; good numerical skills, good data management skills
- Excellent organizational skills (planning, prioritization, follow up, methodical approach)
- Ability to work as part of a team.
- Proficiency in the use of computers and software packages especially Microsoft Excel and Word
- Excellent communication skills
